Create and manage folders

When you work in Project view or Library view, you can organize the maps and files you create or upload into folders and sub-folders.  

Projects view displays all the projects that you can access. Project content can be organized into folders and subfolders within the project.

Library view shows both projects and independent folders (folders not associated with a project).

You manage folders using commands in the right-click shortcut menus, and by using drag & drop.

Note: Your role and your permissions determine your ability to use certain features of ProjectDirector.  If performing an action is not permitted, the command will be disabled.  (For more about the different permission levels, see Understand Permissions.)

What do you want to do?

 

Create a new folder or sub-folder

  1. Do one of the following:

Note: you cannot create a folder outside a project in Projects view.

  1. On the toolbar, click New Folder.

Hint: right-click the parent item name and in the shortcut menu click New Folder.

  1. A folder with the name “New Folder” appears. 

  2. Type a name for the new folder in the field and press Enter.

Once you have created a folder, you can:

The Info pane displays the folder’s creation and modification details.  Folder Sharing Details provides information about users who have access to the folder.

Change folder access

When a folder is shared with users, those users are assigned a permission for the folder that determines their rights to the folder, and their default rights to its content.  When a folder is within a project, the folder inherits its permission settings from the parent project. You can change users' folder Access Levels for individual folders in the Folder Sharing Details pane.

Note: Your role and your permissions determine your ability to change Access Levels for other users.  If performing an action is not permitted, the command will be disabled.  (For more about the different permission levels, see Account roles and Understand Permissions.)

  1. Select the folder that you want to change the Access Levels for.

  2. The Folder Sharing Details box in the right pane lists all account members who have currently access to the folder.

  3. Click the arrow next to the name of the user whose Access Level you want to change. 

    (Folder Access Level options will vary depending upon the type of user.  For more information, see Account roles.)  

  4. Select the Access Level you want for this user. The Access Level you choose will apply to the folder, its sub-folders, and the maps and files they contain*. 

Note: Guests cannot have Edit access to a folder. For more information see Account roles and Understand access rights.

* Sub-folders and files within a folder automatically inherit the parent folder Access Level, but you can override this by setting the Access Level for individual sub-folders, maps and files.

Open a folder or sub-folder

To open a folder:

Hint: Click  next to a folder name to see its sub-folders.

To open a folder in a new window:

  1. Right-click the folder name in the list.

  2. In the shortcut menu, click Open in New Window in the shortcut menu.

ProjectDirector opens a new window in your browser that displays the folder’s contents and Folder Details.

Move a folder to a new location

You can move folders between projects and folders, as long as you have Edit access to both the source and the destination. You cannot move folders between accounts.

To move a folder:

Hint: You can also right-click and use the Cut and Paste commands to move the folder.

The folder appears in its new location.  If you don’t see the folder appear after a few moments, refresh your browser.

Rename a folder

  1. Right-click the folder in the list.

  2. In the shortcut menu, click Rename.

  1. Enter the new folder name.

Delete a folder

Deleting a folder removes the folder and all of its content, and removes it from the Accounts and Folders list for any users with access to it.  If one of the folder’s files is checked out (indicated by in the Files list), you cannot delete that folder until the file is checked back in. 

Owners and Administrators can undelete folders, or permanently delete them.

  1. Right-click the folder in the list.

  2. In the shortcut menu, point to Delete, then click Delete.

  1. Click OK to confirm the deletion, or Cancel to keep the folder.

Undelete or permanently delete a folder (Owners and Administrators only)

  1. Right-click any folder in the list.

  2. In the shortcut menu, point to Delete, then click Show Deleted Items.

  3. Deleted folders will appear in the list with a trash icon .

  4. Right-click the deleted folder you want to undelete.

  5. Point to Delete, and then click Undelete. (The folder's files will also be undeleted.)

The folder and its content is restored with the permissions it had before it was deleted.

Use these same steps to permanently delete a folder, except select Permanently Delete in step 5. Once the folder is permanently deleted, it cannot be recovered.

To hide the deleted items again:

  1. Right-click any folder in the list.

  2. In the shortcut menu, point to Delete, then click Hide Deleted Items.
