Create and use versions

Creating different versions of a document is a way to track changes to it over time.  You can create or use versions in the Files list in Projects view or Library view.

Creating a version (or "versioning") is a way to freeze a file, and set aside a "backup" copy of it that is unaffected by subsequent editing.  This lets you keep a copy of each version of the document as it proceeds through the edit cycle.  If you cut something from the current version, you can go back to a previous version and find that content.  If you need to jettison the current version, you still have the previous version to revert to. 

Version control and collaboration

Mindjet applications support collaborative editing by allowing multiple users to edit a map or other file.  Versioning offers you a way to keep each set of revisions in a separate file, trace those files over time, and attach a comment to the file about the changes made to it. 

The comments you attach to each revision are critical.  The clearer the comments, the more useful the versioning will be to you and to other users.

How it works

The Version control feature is not automatic: you choose which files you want to version, and when.   Once you create a version, a “snapshot” copy of the file is created and it stays locked on the server.  When you edit the file, you are not editing this snapshot, but the current “working copy” of the file.  Any edits you make are saved to the working copy, but are not saved to the version.  For example:

  1. You create a version of a map in your Files list, MyMap.mmap.  It is automatically tagged as Version 1.0, and you add the comment: “This is the original file I created last week.”

  2. Now, you have your working copy of MyMap.mmap in the Files list, and a "backup" version, MyMap.mmap 1.0 which you can see using the Show Versions command.

  3. Select MyMap.mmap in the Files list, open it, edit it, and save it. 

  4. You changed MyMap.mmap but this did not affect its revision,  MyMap.mmap 1.0.

What if you don’t like the changes you made to MyMap.mmap?  You can go back to MyMap.mmap, Version 1.0 and revert to that version.  This version now becomes the current working copy, the one you can access from the Files list in Projects view or Library view. 

You can create many versions of a file, giving you many snapshots of the document at specific points in its evolution, plus the current working copy.

Show or hide versions

Versions are visible in Projects view or Library view to all users with Edit access to a file. Before you start creating versions of a file, you might want to see if the file already has versions. 

To show a file’s Version list:

  1. In the Projects view or Library view Files list, right-click the file whose versions you want to show.

  2. In the shortcut menu, click Show/Hide Version(s).

The Version list displays under the filename, which shows:

Note that you can show versions for only one file at a time.  

To hide the version list:

  1. Right-click the file whose versions are showing.

  2. In the shortcut menu, click Show/Hide Versions.

Create a version

You can create a version of a map or file at any time.  You also have the option to create a version as you check in maps or files. 

To create a version:

  1. In the Projects view or Library view Files list, right-click the file you want to version.

  2. In the shortcut menu, click New Version.

    In the Create New Version dialog, enter a comment that will help you distinguish this version from the current working copy and other future versions.

  3. Click Save.

The version list appears below the file, showing the new version.

View a version

When you have multiple versions of a file and the comments (while helpful) don’t tell you which version has that one piece of content you need, it may be difficult to determine which version to promote so that you can edit it.  You can open Versions in read-only mode so you can quickly scan through them to find the one you want. 

To view a Version:

  1. In the Projects view or Library view Files list, right-click the file whose versions you want to view

  2. In the shortcut menu, click Show/Hide Versions .

Hint: Right-click the file name in the Files list, and then click Show Versions in the shortcut menu.

  1. In the Versions list under the file name, right-click the version you want to view.

  2. In the shortcut menu, click View.

If the file is a map, it opens in mapping window.  You'll see by the map status indicator at upper-left that it is read-only. 

If it is another type of file, the version is downloaded to the default location determined by your browser, and you can open it. The downloaded copy is read-only.

Revert to a version

To resurrect a previous version of the file and make it the current working copy, you revert to that version.  Once reverted, you can edit the file.

Important: reverting to a version overwrites the current working copy.  If there are edits in the current working copy that you want to keep, you need create a version of it first, before reverting to another version.

  1. In the Projects view or Library view Files list, right-click the file with the version you want to restore.

  2. (Optional) create a version of your current working copy:

  3. In the shortcut menu, click Show/Hide Version(s).

  4. In the Versions list, right-click the version you want to revert to.

  5. In the shortcut menu, click Revert Version.

The version you reverted to is now the current working copy.  When you open the file, you will see that version.

Delete a version

Deleting will remove the version permanently from the list of versions, for all users with Edit access to the file.  

To delete a version:

  1. In the Projects view or Library view files list, right-click the file with the version you want to delete.

  2. In the shortcut menu, click Show/Hide Version(s).

  1. In the Versions list, right-click the version you wish to delete.

  2. In the shortcut menu click Delete.
    You are asked to confirm this deletion.

  3. Click OK to confirm, or Cancel to retain the version.
